How to induct new members when club meetings are not being held?

This is the concern that several incoming Presidents have in their mind especially at a time, when the Rotary world is looking for new quality members.

Obviously, in the current situation, the lockdown in many countries may take longer than expected and even after that it would be sometime when the physical distancing may continue to remain uppermost in social gatherings, and even club meetings.

Rotary International President Elect Holger Knaack, feels that the current crisis has opened up newer opportunities for the Rotarians to innovate, continue to strengthen their connect with each other and their community, and maintain their drive to 'Do Good'.

Many club meetings are happening online, thanks to various tech-tools available to host such meetings effectively. District 3080 in India conducted its Presidents-Elect and Secretaries Elect Training Seminar for seven days with attendance ranging from 140 to 160. Their success story is inspiring many other Districts to undertake similar meets to prepare the next year leadership for the challenges.

Since the membership growth remains one of the key priorities of Rotary, endorsed with full verve by RI President Nominee Shekhar Mehta also in different fora, the Clubs shall have to innovate to reach out to the new members, especially the younger ones, through online resources and engage them.

Here are 7 Steps to a successful outreach initiative to bring in new members.

1. Survey your community and identify the prospects. There are former Rotaractors, GSE team alumni, and those Rotarians who would have left because of their professional commitments, and of course, the new breed of young leaders in various sectors, who are our key prospects. Reach out to them, compile their profiles,
2. Invite such prospective members to your zoom meetings.
3. Share projects with them, and the club goals.
4. Create a slide show or videot of major projects that the club has undertaken in the past.
5. Engage in discussions with them for the upcoming or running projects where they would like to involve themselves.
6. Organise an Induction meeting and send them the New Members Kit. .
7. Introduce the person and engage him/her in speaking and addressing the club members.

PETS-SETS culminates on Tuesday with various business sessions with valedictory remarks by PDG Pramod Vij, who is an elected member of the legislative assembly from Panipat.

In short the cloud meeting was a joyful experience for the participating Rotarians. The attendance numbered from 140 to over 160 in different sessions . The ability to interact with their fellow Rotarians from different cities, and leaderships beyond Indian borders, excited everyone, as they shared their involvement in managing the COVID19 challenges.

Technology has definitely bonded the Rotarians, the People of Action, together through such meetings, filling them up with the hope that they can meet any challenge with ease, not letting their enthusiasm waning in any way.

One of the major element that contribute to the strength of Rotary is its visual identity. Rotary International undertook a massive exercise to unify and standardise the way we use Rotary's logo and other images on our printed material, signage, videos, etc.

You can try this for your business. Just check out your visiting cad, letterhead, and signage on your outdoor, packaging, vehicles, etc, and check out whether they are uniform? If not, it is time to standardise them.

Standardised visual identity not only provides consistency and credibility to your organisation, but also builds up a trust and dependability in your organisation.

Check out the material, the manual, and templates at Rotary Brand Center. Of course you would require your myrotary account, which I'm sure you would have already created.

Tell Your Story in a Way that People shall like to Read about It.

Most often the Rotary clubs find themselves at a loss as to how to take their project report into the media. Many of us however have become experts in sharing the project photos on Whatsapp or Facebook, and at times, much to the recipient's dismay, they come in large number only showing mug shots or posed group photos of Rotarians where more than the beneficiary, they themselves are in the picture, ending up with many heartburns for those left out in the queued-up shots.

And especially tree plantation shots are the worst where volunteers would hold the banner in the background while the photo is being taken.

Let us refine the process.

a. Select the photograph that shows the project highlights or the beneficiaries. Those who are getting benefitted from your project. Tell their story.

b. How the project came about. What was the trigger?

c. Why the project was undertaken? Definitely not to have the photos of all committee members together and having their photo seen in the media. The Club wanted to make a difference and that is why a particular section of society was chosen to help them.

d. Talk to a few beneficiaries and find out their life stories and how your project is going to impact them.

Check out this short story roll out plan. Create your story line. Pick up two or three photos. Share them with Rotary community :

a. On Club facebook / youtube / website

b. On District facebook page

c. on facebook pages of other clubs and districts

Take Care of SHSTT

That is a perhaps an unfamiliar abbreviation, but that is the key to the way people perceive and judge things.
Our perceptions about people, things, products, and organisations are cumulative impact of the experience we have acquired through our five senses over the years.
Some of the hospitals, the south Indian restaurants, coffee, have distinct smells that can attract or repel you.
The sight of certain brands like Coca Cola, Lux toiletry, Pepsi, Pizza Hut, McDonald's, have been carefully honed by expert communicators to generate universal experience by managing their SHSTT, i.e. what every consumer can SEE, HEAR, SMELL, TASTE and TOUCH.
For different organisations different sensory elements may vary but one needs to audit one's own brand in the light of these five elements.
I remember that the UNI, the famous news agency, acquired the saying in the journalistic world in Delhi, "It may not be good at copy but serves good coffee".
A good restaurant or a hotel are the one where SHSTT, in their entire domain, matter. Right from the visual treat to the music that is played in their lobbies and toilets, to the comfort, the relaxing smells, and the food which is served, contribute entirely to the entire experience.
But service-oriented organisations or the NGOs have to take care and effectively manage the people's experience with their organisation.
It becomes all the more challenging in an NGO, because every member becomes a brand ambassador and must be knowledgable enough to project the vision, the mission and the story of their organisation.
Every Rotarian in Rotary International is the brand ambassador of this worldwide organisation. Therefore, it is essential that the public image is sustained through the controlled and effective management of all sensory experience for the members as well as all stakeholders in the community.

WHAT PEOPLE SEE:
Your personal conduct and the conformance to the international guidelines of Rotary visual identity. That also enhances the members' experience of their Club too. How the branding is executed in community events, and how it is represented in all communication. The personal behaviour in public can also impact the image. For instance, a Rotarian with a Rotary sticker on the car throwing out garbage from the window of his car on to the road, can bring in bad image for the organisation.

WHAT DO THEY HEAR:
Your elevators pitch. Every businessman and professional knows about one-minute pitch. What you have to say about Rotary and your Club, when you talk to non-Rotarians.

WHAT DO THEY SMELL
This may not look very significant but at times, smell of large quantity of screen printed material distributed to public could possibly be exuding a very repelling odour of ammonia. a smelly unclean washroom in the premises...a smelly unclean pantry...and a lot more could effect positive image.

WHAT DO THEY TASTE
Be careful about quality of food served to beneficiaries and guests on Rotary meetings and projects. Outsiders would carry their experience for a lifetime.

WHAT DO THEY TOUCH
Unclean tables and counters; dusty chairs; wet paint at a project site; greasy crockery or keyboards; are strictly no-no. Be careful.

People form opinion and perception about people and organisation on the basis of their personal experience and do not hesitate from voicing it out while in a group which can have damaging effect. So take care of every little detail
Rotary Public Image continues to receive attention increasingly to share Rotary's humanitarian successes around the world.

Next year's RI President Nominee Barry Rassin has already made Rotary's public image as the thrust area during his year.

And rightfully so, public image helps the clubs generate awareness and goodwill amongst its stakeholders, and the community in a most effective way.

A well-executed Public image effort brings in multi-pronged success:

a. Internally, it helps members and their family members, as well as other Rotary partners, feel involved as it helps build strong sense of belonging.

b. Engages members meaningfully and contains attrition.

c. Builds strong networking amongst members too.

d. Community outreach showcases its humanitarian service efforts and wins their appreciation.

e. Garners the support of local authorities.

f. Provides positive stories to the media and engages them in community development efforts.

g. Attracts more professionals and businesses to get associated with the good causes and support Rotary club's projects through their CSR funds;

h. Helps raise financial support for its service projects;

i. Attracts new members.

j. Helps clubs reach out to newer communities and establish new clubs.

These are just 10 pointers, but public image has far-reaching positive impact for the Rotary clubs to thrive.

Rtn Ravi Bansal and his wife Dr Pratibha were shatered when they learnt the death of Ravi's brother Subhash's wife Sneh who was diagnosed of cancer in 1997. Sneh had been a fighter and became a champion of cancer awareness movement reaching out to those diagnosed of cancer.

In the meanwhile Rotarians of Ambala Cantt, with the support of philanthropist family of Rtn. Jaidev Gupta, the foundation for Ambala Cancer Hospital was laid in a small room, which grew to become a 20-bedded diagnostic centres, and now a 100-bedded superspeciality hospital to provide treatment to the cancer patients.

"The moment I learnt that Rotary Ambala Cancer and General Hospital requires an expensive MRI machine costing USD 750,000, I decided to do my bit to help out," says Ravi, who having retired from his manufacturing business in USA, and decided to undertake this adventure in his solo flight on his single-engine Cessna 400.

"I decided to fly round the world to raise awareness about cancer and raise funds from Rotarians and other philanthropists from around the world through this flight," Ravi announced, recalling his family's concern.

"I am not interested in spreading the word about myself but about the whole cause of generating awareness about cancer, and to raise fund for the Rotary Ambala Cancer and General Hospital," he said.

Rtn Ravi Bansal would be the first solo Indian to complete round-the-world flight in single-engine aircraft which would be another record of sort, as he flies around the world to raise USD 750,000 to buy a sophisticated MRI machine for the hospital.
Ravi had been able to get nearly a million dollars in donations from people around the world, and people can reach him and donate online through his website http://www.raviworldflight.com, which incidentally also provides real-time tracking of his journey.

Past Rotary International President Raja Saboo met Rtn Ravi Bansal in the morning, along with past Rotary International Director Yash Pal Das, who is the co-chairman of the cancer hospital, and congratulated Ravi for his extraordinary adventure for a cause.

Several Rotarians at Ambala and in Chandigarh, besides members of the Inner Wheel handed over their contribution to the cause.

Ravi belongs to Ambala and migrated to USA in 1972 and maintains close ties with his brother, PP Rtn. Subhash Bansal, and other members of the family back home.
Yes. Each one of us is capable of making a difference.

Not only in our own lives (though of course, the change begins with you), but also in the lives of people around us.

And you need not be a Mahatma Gandhi or Mother Teresa.

But we can take lessons from their lives, and make our own lives as a powerful tool to touch the heart and soul of someone around you.

In your family, amongst your friends and business associates, in your own neighbourhood and city.

It need not be a major or a big project. Even small acts of kindness can bring in smile.

Do you know a child with congenital heart disease? Just act, and refer to Rotary Club of Chandigarh. All it takes is a phone call or an email.

There is someone who needs your help.

Go ahead. Make a Difference.

You are a Rotarian. And every Rotarian makes a Difference.

I Make a Difference.

On Ist of July the entire Rotary world would get into action with renewed vigour to Make a Difference. And already the plans are afoot and the new team is all set to take up the baton of leadership from their immediate predecessor, to take Rotary to still greater heights.

Each one of us is capable of making a difference in the life of someone; in our family, our immediate neighbourhood, the city or town or the country we live in, and in the process, in the entire world.

Do a Daily Good and make a Difference.

Howsoever small it may be.

I am reminded of the tale of a child who finds lots of fish left dying on the seashore with the receding tide. He picks up a fish and throws it back into the sea. And he keeps on moving, picking up another fish with his little hands and throwing it back into the water.

Watching the little child's action from a distance, an old man approaches him and tells him, that he won't be able to do anything since there are thousands of fish on the shore. It would be futile. It won't make any difference what you are doing, says the man.

The child picks up another fish from the sandy shore, gasping for life, shows to the man, and says, "It makes a difference to this one at least," and throws the fish back into the water.

Let's remember, as a Rotarian, we cannot ignore our potential to act and save a life. Or even change a life through little acts of kindness as humans.

And that is what makes a Rotarian more humane.

Tell to the world, "I'm a Rotarian. I Make a Difference"

He passed away after a prolonged illness on the night of 14th - 15th February. As the heavy metal door closed on the mortal remains in the crematorium, it was all over. We are shocked that he is no more with us.

We shall miss his cheerful personality; his discipline; his humane personal touch in everything he did.

He would never talk about his ailment and would brush it out saying jocularly, "the doctors are unable to diagnose the problem so why worry. I don't have any problem."

A month ago when i called him up to see him, he simply laughed it off and said we shall meet sometimes later as i'm not in good shape today. Later i learnt that he was undergoing a check up in the hospital.

Every Wednesday afternoon he would climb up to the second floor office of the Academy in Rotary House in Sector 18, to preside over his team of associates to look after the conduct of every course. And would keep everyone inspired with his one liners.

Since last two months he had grown week but just a week before Associate Dean PDG Shaju Peter and Academy Coordinator Rtn B L Ramsisaria reached his home to sign the Certificates of the DLA candidates of 2016 batch, his last ones, to be presented to the pass outs at the District Conference.

Though weak and his hands shaking, he autographed those certificates with a smile that always played on his face, whenever someone discussed DLA with him.

We salute him for his grit, passion, compassion, and selfless service.

One of the major concern of the Rotary clubs, or for that matter any NGO is, to have a better public image, a good media exposure, and recognition of the efforts.

This requires responding to community needs, or 'pain points' with specific projects that help the larger groups of people to benefit.

Polio had been a case in point. The project grew from Philippines into a larger-than-life efforts to eradicate polio from the world. And year after year, we have seen this project grow reaching out to much larger beneficiaries, responding to a cause which was a major concern of the people around the globe.

A Rotary club should look at their city and identify crying needs of the society. If one area needs a tree cover, look for all the areas in the entire city which requires tree covers. Talk to the local government, the horticulture departments, engage with local schools and colleges, Rotaractors and Interactors, and plan the project that would have wider impact.

Media requires news. Story that impacts larger numbers. Story, that is of larger public interest. Story that is shared with the media at the right time.
He is an individual who is an institution in himself, showing the way to the people to 'Look Beyond Yourself', RRFC Kamal Sanghvi said. In his inspirational address he touched upon the topic of the joy of giving.
It was 25 years before that the Rajendra K. Saboo of RI District 3080 held the world leadership of Rotary International in 1991-92, and this special occasion was celebrated by the Rotarians of District 3080 by honouring him.
Recalling the days and especially post-nomination the expectations everyone had from being an Indian as to what would be the advantages he would bring to India, and his response at one such prestigious reception in the Parliament House, hosted by the then Secretary General of Rajya Sabha, Sudershan Agarwal, provided the basis for his theme.

Raja Saboo recalled that on being asked by everyone at the party, he had to respond that though this position would be a matter of pride for the Indians and India as a country, but having born here with the value and culture of giving to others, this position would be an opportunity for me to look beyond my ownself, for the larger humanity.

"Later, as we were returning from the reception, my wife Usha asked me 'do you know what did you say there', and recalling my speech, she suggested that 'Look Beyond Yourself' would be the perfect theme for your Rotary year," he said.

Applauding the Rotary Club of Yamunanagar for adopting a girl child of a martyred army jawan, he implored every Club to look for such families of army jawans in their vicinity and adopt the child not as a formality, but for a life-time of commitment to see to it that all her education is taken care of, so that the girl remembers that her father is still respected and remembered for his sacrifice.
Today biggest brands in the world, like Coke, Nike, Microsoft, have their market value many times over their net worth. And this is all because of the strong identity, a powerful brand that they hold.

These commercial brands are now being promoted by many celebrities, who infact, might not even be using those products. Or might not be fully engaged with those brands in their actual life.

It is Rotary, in the world of voluntary work, that is increasingly having impact on the lives of the people across the world with their strong and powerful 'product'...the humanitarian service.

And what more. No brand in the world would have 1.2 million Ambassadors. Each one of us as Rotarians are the brand ambassadors who carry the values, and convey the trust to the people across the globe with our work, our selfless service, and our generous contributions to make this world a better place.

Rotarians every where are working locally on a global scale to create lasting positive change.

The Challenge
We as Rotarians are endowed with the ability to share the great Rotary values, our strength to tackle toughest human problems, and diversity to bring in expertise to find sustainable solution. The challenge is to continue to communicate our credibility, our competence and capabilities to the world around us.

One simple way is to follow the branding guidelines. Wherever we put our signature for having done good, maintain the guidelines that Rotary has created painstakingly so that unified look remains universally recognisable.

Imagine how you can profit from it.
Go through the Rotary guidelines carefully and you can adapt the same process for your own organisation. Big or small, check out whether your own organisation has a visual identity manual? A set rule of specifications about the font, the color schemes, and whether it is being uniformally translated into your stationary, advertising, packaging, outdoor signage, etc.?

Maintain and follow the same for your Club. Check out all signage, stationery, newsletter, and see whether it conforms to the guidelines specified in the Rotary's guidelines.

Download here. Rotary's Visual Identity Guidelines.

But again, you would require your MyRotary account. Hope you have one. Cheers!
It’s Monday, and another week ahead to accomplish a lot for the Rotary Smiling Team 2016-17.

Many of you have had your installation meetings while others are getting ready for the same.
This is the opportunity for you to reach out to media, and have the installation function covered.

Here are a few steps:
a. Prepare a list of the media persons in your area, complete with their mobile numbers and email id.
b. Distribute the printed invite as well as send an email inviting them over for the coverage of the event.
c. Make sure that you give the exact time when the programme would start, and strictly follow the time schedule. Media people, especially the photographers would not wait endlessly if the programme gets delayed.
d. Prepare a background note on your Club’s activities last year, and the future plans by the incoming leadership.
e. Have the background note translated in Hindi and/or Punjabi. Some of your local journalist friends may help you out with that.
f. Keep the copies ready or have it sent out to the media on the day of the event. (since many of them might not be able to attend the late evening function, the advance information can help them prepare a story)
g. Depute a Rotarian to handle the media people when they arrive. Note down their contact details, and hand them over the background material. The TV news channels would like to talk to the outgoing and incoming President about their projects and record their bytes which can be arranged before the start of the event.
h. In case there is a VIP/Celebrity joining in at the function, ask another Rotarian to note down his key message, which should be incorporated into the press release already prepared by you.
i. Email the revised press release to the media with at least two or three photographs.
j. Next day have the entire coverage monitored, and shared with the District and other Club members.

You can follow the same process for planning media coverage of any of your club projects or activities.

Showcase... “Rotary Serving Humanity”.
Rotary has numerous resources and idea bank that the Club leadership can utilise to make their clubs effective, vibrant, and visible.

The term 'public', for the practising Public Relations professionals, as well as marketers or business communicators, refers to the specific groups of people that an organisation deals with.

For example, you can list out the 'publics' for a Rotary Club. Take a piece of paper and write down all the 'publics' that your Club has to work with.

We classify these 'publics', broadly, as INTERNAL and EXTERNAL.

List out the Internal Publics. This would include in your club:
Board of Directors, Past Presidents, Past RI Officers (if any), Rotarians, Spouses, their children and families, Club's staff, Rotaractors and their respective institutions, Interactors and their respective schools, parents of Rotaractors and Interactors, Inner Wheel, other partners in service projects both within the community and outside, as well as your international partners for Global Grants, Rotary International's South Asia Office, and the Headquarter, etc. etc.

In fact, once you start listing them out you would be surprised to know the diversity of 'publics' that your Club interacts with.

External publics, for example, are : prospective Rotarians, neighbouring Rotary, Rotaract and Interact clubs, other NGOs, local community, local government and municipal corporation, media, educational institutions, libraries, banks and financial institutions, prospective sponsors and corporate sector, hospitals and nursing homes, blood banks (if not promoted by the Club), local MLAs and MPs, municipal councillors, etc.

Each of these groups of people, whether internal or external, have typical communication consumption requirements. In order to work and contribute to the success of the Club, each one of these groups are significant stakeholders whose active participation, and support is sine qua non to the Club's strength.

And this strength, support and cooperation emanates from a positive public image of your club in the minds of the 'publics' it interacts with.

Enough of gyan :). I have uploaded on this blog some of the Resources that the club leadership can make use of. Click Here to land on the Resources' page on the blog.

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">As I continue to work with you and our dynamic District Governor Raman Aneja, I shall be in touch with you regularly, sharing whatever little I know, to help you and your Club in achieving the visibility Rotary deserves in your community.
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">Public Relations and Public Image has often been used interchangeably, whereas the public image is the outcome that you achieve by using the tools of public relations.
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">However, I must reiterate, public relations is not the panacea for everything. And public relations is not having your photograph in the media. It is a much larger management tool that you can deploy productively to improve communication with different groups of people with whom your club interacts.
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">Nevertheless, the time for all the preparations and learning that you have had in the last almost six months through various training programmes is over. The time now is for ACTION. From 1st July onwards, the Rotary leadership around the globe has got activated and already many lives have been touched through meaningful projects.
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">SHARE YOUR STORY
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">The time now is to talk about your projects, and the people whose lives you are touching.
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">Share your story with the media. You will have numerous opportunities to get your Club under the media spotlight. Here are some of the occasions where you must work with the media:

<span style="font-family: "georgia";">Installation function. Highlight the achievements of the last year and plans for the year ahead.

<span style="font-family: "georgia";">Governor's Official Visits, would be another opportunity.

<span style="font-family: "georgia";">Publicise various Rotary programmes like Youth Exchange, RYLA, etc.

<span style="font-family: "georgia";">Arrange a visit of the media to your project.

<span style="font-family: "georgia";">During PETS/SETS and other District training visits, some of you had shared the challenge of getting the newspapers to report your club's activities. The biggest challenge before the Club President is to have the news of their Club published in the media... especially the newspaper.

Many of us perhaps look at it as the opportunity to have their own photographs appearing on the front page. May be a personal link could get you covered on the front page; but not everytime.

Media requires a story...a story that they can share with their readers. A story that tells a human story and the impact of the work which Rotary is doing.

Installation is one such occasion when the Clubs vie for space in the newspapers. It is more challenging when there are more than three clubs in the city.

In order to get share of your voice in the newspapers, it is essential that the story is irresistible. It is worth writing about. Either there is a celebrity presence at your function, or you have a project bigger than life.

I remember an Indian tv commercial for bulbs, when the person goes to a shop to buy the bulb; but in order to make an impact in his home, he demands many. Shopkeepers quizzed looks meet with his prompt quip, "Saare ghat ke badal daloonga" (Would change in the entire home).

Think big...for any project. How can you multiply the impact and reach out to a larger audience. Or something that would touch the life of certain section of the society more effectively.

Rotary Club Chandigarh's #Heartline project was inspired by the helplessness of Rotarians when the patient for whom the money was being collected, died, because the fund-raising took time.

The Rotarians took a pledge that no child should die for want of money. And today, more than 600 free heart surgeries on children have been done since 1999.

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">Public Relations and Public Image has often been used interchangeably, whereas the public image is the outcome that you achieve by using the tools of public relations.
<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="background-color: white; font-family: "georgia"; font-size: 14px; line-height: 20.02px;">

<span style="font-family: "georgia";">Media interaction with the club leadership to share their story and vision.

I shall discuss it further with you in the subsequent posts.
